SET-BC digitally transforms its assistive technology services with Salesforce and Belmar Consulting

Customer Profile

SET-BC has been providing assistive technology services to students with physical disabilities in British Columbia (BC), Canada, for over 30 years. Established in 1989 by the Special Education Branch of the BC Ministry of Education, SET-BC works with all BC school districts to facilitate access to and knowledge of assistive technology, related resources, and training. Their mission is to ensure that all students have equal opportunities to feel belonging, connection, and purpose in their educational settings and to build a foundation of self-confidence and ability for their future aspirations.

The Challenge

SET-BC faced a significant challenge with its legacy home-built solution, which had been developed over the past 15 years. The system was not end-user friendly, causing significant difficulties in the maintenance and ongoing support of this solution. Submissions were paper-based, and transcribing documents into SET-BC’s systems required an immense amount of manual processing. This issue was ultimately preventing SET-BC from providing effective services to the students in BC, and the organization realized that it was time to modernize its technology.

Submissions were paper-based, and transcribing documents into SET-BC’s systems required an immense amount of manual processing.

The Solution

To address this challenge, SET-BC sought the help of Belmar Consulting, a Salesforce Implementation Partner. Belmar leveraged multiple clouds to replace SET-BC’s legacy technology and supported the end-to-end business processes and departments. During the implementation of the project, Belmar also worked with the SET-BC IT team to help upskill them on the Salesforce platform for the ongoing support over the next 15 years.

“The relationships we built with the Belmar team also made the project seamless. It brought a level of trust that the project would turn out the way it has and be successful. We felt at ease.” -SET-BC

The Impact

SET-BC’s Salesforce implementation has had a significant impact on their daily operations. Easier processes and a more end-user-friendly system have made the day-to-day lives of the SET-BC team easier and more efficient, allowing them to spend more time supporting students and less time doing admin work or waiting for requests to be fulfilled.

The new solution also provided SET-BC with several benefits, such as:

  1. Improved access to assistive technology: the project has significantly improved SET-BC's ability to provide assistive technology to students with physical disabilities in BC.

  2. Enhanced user experience: the new interface and experience is more end-user-friendly, allowing SET-BC staff to access and use the system more efficiently.

  3. Streamlined business processes: after their Salesforce implementation, SET-BC's business processes have been streamlined, and the time and effort needed to manage the system has been reduced. As a result, response times to student requests have been significantly improved.

  4. Increased system reliability: the implementation has improved the reliability of the system, ensuring that it is always available when needed.

The partnership between SET-BC and Belmar has been a success, resulting in a more efficient and effective system that supports the needs of students with physical disabilities in BC. “The Belmar Team was exceptional”, says the SET-BC team. “What made this project a success was Belmar really understanding what SET-BC's needs were and how our processes worked. Almost better then we did. This made it much easier to explain what we were looking for so when there tweaks or changes, everyone understood what was capable.”
